1. Summary

BOT_NAME is a Discord bot that provides companion utilities for TacoShack servers. The bot is designed to minimise data collection and does not store general channel messages.

Message processing: The bot may read messages in channels where it is present to detect TacoShack events and respond to user commands. It processes relevant data in memory and does not store general message content or attachments.

2. Data we store

To operate features like reminders and server configuration, the bot may store:

Discord server (guild) ID
Discord user ID
Discord channel ID (where relevant to configuration/reminders)
Emoji / emote ID (where relevant to configuration)
Username (for operational/display purposes)
Reminder schedules and reminder text you provide
Custom messages and configuration settings you provide

3. Data we do not store

General channel message content (outside of user-provided config/reminders)
Attachments, images, files, or message logs
Real names, addresses, or government identifiers

4. How we use data

To provide requested bot features (e.g., reminders, utilities, configuration)
To maintain security and prevent abuse (e.g., rate limiting, diagnostics)
To improve reliability (e.g., error handling and operational monitoring)

5. Legal basis (where applicable)

Where UK/EU data protection laws apply, processing is based on performance of a contract (providing requested features) and/or legitimate interests (operating and securing the service).

6. Sharing and third parties

We do not sell data. Data is shared only with infrastructure providers required to run the service (e.g., hosting/database), or where required by law, or to enforce policy and protect users and the service.

7. Retention

We keep data only as long as needed for the feature: reminders are retained until delivered or deleted; configuration is retained while the bot remains installed and may be removed after the bot is removed from a server.

8. Your choices and deletion requests

You can remove reminders/config using bot commands where available. Server admins can remove the bot at any time. You can also email us at CONTACT_EMAIL to request deletion of data associated with a user ID or server ID.

We may ask you to verify control of the Discord account/server before acting on a deletion request.

9. Children

The bot is intended for users who meet Discord’s minimum age requirements.

10. Changes

We may update this policy from time to time. The effective date above will change when we do.
